Call Log

Although qualitative data, such as feedback from the community and department staff is great, quantitative or numerical data can be much more persuasive and play a crucial role in your organization’s internal reporting activities, annual reports, or other materials distributed to your community, government officials, and local media outlets. Therefore, it is important to maintain records of your 1-800-FIRE-LINE calls. A call log can assist you in tracking and organizing the calls and messages received through 1-800-FIRE-LINE. You can use or customize the sample Call Log (also available in Excel) to track the number of calls received and find out how and where 1-800-FIRE-LINE is making an impact in your state.
 
 Information received from prospective volunteers should be forwarded directly to their local 1-800-FIRE-LINE point of contact so they can reach out to interested callers in their area. It is recommended you follow up with callers to ensure that their inquiries about volunteer opportunities were fulfilled. Provide them with contact information from your Local Contact Information list (e.g. local fire or rescue chief, wilderness search and rescue coordinator, etc.) so they may address that person directly. You can also mail callers a flyer or brochure that lists opportunities for volunteers in their area. The Delaware Volunteer Fireman’s Association created a state-wide brochure to send to their callers, which can serve as an example of what your state might do. Following up with callers will establish good rapport with community members by confirming 1-800-FIRE-LINE as a reliable resource to find volunteer opportunities in your state. Keep track of follow-up communication by utilizing the notes and placement section in the Call Log.
